INFORMATION ON THE PROCESSING OF PERSONAL DATA HOTEL GUESTS
The below referenced information originates with, and is being passed on to you in pursuance of the Regulation of the European Parliament and of the Council (EU) 2016/679, of April 27, 2016, on the protection of natural persons with regard to the processing of personal data, and on the free movement of such data, and on repealing Directive 95/46/EC (General Data Protection Regulation - GDPR).
I. Personal Data Administrator
The administrator of personal data is Kraków Airport Hotel, a limited liability company with its registered office in Balice at the following address: ul. Kpt. Mieczysława Medweckiego 3, 32-083 Balice, evidenced in the National Court Register of Entrepreneurs as entry No KRS 0000335628, NIP (tax identification number): 5130189547, REGON: 120944716, tel.: + 48 12 340 00 00 (hereinafter referred to as ‘the Administrator’ or ‘the Company’).

III. Purposes and legal basis of personal data provision
Your personal data is required for the purpose of carrying out a scope of hotel services by Hilton Garden Inn Krakow Airport Hotel. In addition, data may be processed in order to fulfill the obligations arising from legal provisions, including tax and accounting (Article 6 paragraph 1. letter c of the GDPR). In justified cases, data may be processed in order to implement the justified interest of the Administrator, consisting in pursuing claims or defending against claims accounting (Article 6 paragraph 1. letter f of the GDPR). Your personal data shall not be processed for any direct marketing purposes.
IV. The scope of data processed
The following categories of your personal data may be processed: name and surname, date of birth, address, contact details (telephone number, e-mail address), passport number (foreigners), bank account and/or credit card number, tax identification number (in case of issuing VAT invoice), Hilton Honors Number
V. Information on the mandatory / voluntary provision of data
Provision of personal data is fully voluntary, but their processing is necessary for executing a scope of contracted hotel services to your benefit.
VI. Period of data processing: We shall keep your personal data in storage, in full compliance with applicable legislation, for the period necessary for an adequate performance of the contract, and execution of the statutory prerogatives of Personal Data Administrator (pursuing claims or defense against claims - until the limitation period expires).
VII. Personal data sources
If you made a reservation through the Hilton reservation system, we have received your data from Hilton Worldwide Holdings Inc. If the booking was made in connection with a delayed or canceled flight, we have received your data from the airline or agent. If you made a reservation through an agent, we have received your data from this agent. If you have made a reservation directly at the Hotel, we process the data you provided when booking.
VIII. Recipients of personal data
We may transfer your personal data to the entities cooperating with us or providing services for our benefit, (eg accounting), although any such entities shall process your personal data under specific contractual constraints only, strictly in line with our instructions. If the reservation was made via an airline or agent due to a canceled or delayed flight, we may transfer your name to the agent responsible for the booking in order to settle payment.
IX. Your statutory rights related to the processing of personal data
You have the right: to withdraw consent to your personal data processing, to access your personal data, to request correction/amendment of your personal data, to request a removal of your personal data, to demand that the processing of your personal data be restricted to object to the processing of your personal data due to your particular situation, in the cases when we process your personal data in line with our legitimate business interests, to have your personal data transferred, i.e. the right to receive your personal data from us in a structured, commonly used, machine-readable IT format. You may then forward this set of personal data to another personal data administrator, or request that we forward it to another personal data administrator on your behalf. Please note that we shall do so, only if this is technically feasible. You have the right to have your personal data transferred only with regard to the scope of such data being the actual subject to contractual processing by ourselves. You have also the right to receive a copy of the safeguards referred to in point XIII. In order to exercise your rights, please contact the addresses indicated in points I. or II.
X. The right to lodge a complaint with the supervisory body
You also have the right to lodge a complaint with the supervisory body, which is the President of the Office for Personal Data Protection (00-193 Warszawa, ul. Stawki 2, e-mail: kancelaria@uodo.gov.pl)
XI. Automated decision making
Decisions are not made in an automated manner, and your personal data is not subject to profiling by Personal Data Administrator.
XII. Transfer of data to third countries or international organizations
Data entered into the booking system is processed by the Hilton group entities Hilton Worldwide Holdings Inc. outside the EEA (USA). Due to the absence of an adequacy decision, safeguards in the form of standard contractual clauses are used, and in the absence thereof, data may be transferred pursuant to art. 49 paragraph 1.point b GDPR - the transfer of data is necessary for the performance of the contract between you and the Administrator.
Krakow Airport Hotel ltd in Balice operates as a franchisee Hotel under the brand Hilton Garden Inn Krakow Airport, which is part of the Hilton Worldwide. Entities of the Hilton Worldwide Holdings Inc. group are independent from Kraków Airport Hotel sp.z o.o. personal data administrators. Hilton Reservations Worldwide, L.L.C. is the administrator in the field of data provided when making reservations at the Hilton. Hilton Honors Worldwide, L.L.C. is the administrator in the field of personal data processing in connection with the operation of the Hilton Honors program. Hilton Domestic Operating Company Inc. is the administrator in the field of personal data processing in connection with Hilton marketing activities.
